Migration of “big” Outlook accounts
Operating system crashed. You have reinstalled the system, but there is a Task: to migrate accounts and mail from one system to another. The fact that to move “Personal folders” is enough to find and copy the Outlook file.pst instead of the newly created (or connect it second), many people know. On seven, by the way, it’s right here: C:\Users\%USERNAME%\AppData\Local\Microsoft\Outlook\Outlook.pst, where %USERNAME% is the name of the user (or more precisely, the name of the folder where the user profile is located). The disk might not be C:\ either if the crashed operating system was on a different disk. And here’s how to move the “account” settings? It’s good if you had a couple or three of them. you can re-create them easily. And if you had at least ten of them?! It turns out that in order to do that, we have to pull the following branches from the registry of the user profile of the crashed system and import them into the current profile: HKEY_CURRENT_USER\Software\Microsoft\Office\Outlook\OMI Account Manager HKEY_CURRENT_USER\Software\Microsoft\Windows NT\CurrentVersion\Windows Messaging Subsystem\Profiles\Outlook HKEY_CURRENT_USER\Software\Microsoft\Office% office version%\Outlook\Options where % office version% is 11.0, 12.0, 14.0 and so on, depending on which version you used.
Open Regedt32 and through menu “File”. “Load Hive. “Connect NTUSER.DAT from the profile of the crashed system. You have to go to “HKEY_USERS” section and choose “File. “Load Hive. ” and point it to NTUSER.DAT from the old profile (find it in the user folder inside the folder Users or Documents and Settings from the crashed system). Regedt32 will ask us what name to give to the branch we want to connect. let’s give it e.g. “1234”.
In the just connected “1234” branch, search and export to reg files the three branches mentioned above. Only here, of course, they will start not with “HKEY_CURRENT_USER\”, but with “HKEY_USERS\1234\”. To export the desired branch to a reg file: go to the desired branch and use the “File” menu to. “Export” export the file (you will have to give the name and location of the file you want to export). Do the same with all three paths in the registry and we get three reg files.
Open one by one each of the three reg files in Notepad (e.g. right-click on them in Explorer and select “Edit” in the popup menu) and replace “HKEY_USERS\1234” with “HKEY_CURRENT_USER”. This is so that the information will get into the current profile during import and it will overwrite the current information.
I highly recommend that you export the current state as well so that you can restore everything back to the way it was if something goes wrong. So do not be lazy and do all steps of point 2 just for the current path (you have to work with “HKEY_CURRENT_USER”). Now, in case of any problems, you can import the files obtained at this step and restore the current state of the settings.
Now you actually have to close Outlook (if it was open) and import the files you got at step 3. Just open them in explorer and say yes to the warning.
That’s all! After opening Outlook, you will get a complete list of ready-made “accounts”. Except their mailbox passwords are not migrated that way (but they don’t seem to be migrated from the old profiles in any way whatsoever)!), so be prepared to remember them (or change them via “I forgot the password” 🙂 ).
First launch. Creating a data file
At the first start of the mailer the initial settings will open, here you should click on “Next”.
In the next dialog box of the two radio buttons I choose no. I need, that from all accounts the letters go in one folder inbox, and Outlook creates for each account a separate data file in which the folders are stored. Before adding it you need a data file that can be used for all accounts. That’s what the mailer does when you run it without an account, but since it creates it in the “Outlook Files” folder in your documents, which I don’t really like, you should do it the way you did it in Outlook 2007, i.e. Е. Move the data file to a folder in the path:
specify the new location, and make the default data file, and then delete the first one from Outlook, and then the folder from the documents. You can, of course, create a file after adding all the entries and specify that the mail is collected in the same inbox, but I prefer to do all the actions with the file at once, and specify the folder when adding the accounts.
After selecting the desired option I click on “Next”, in the next dialog box I check “Continue without setting up the email account”, and click “Done”.
A dialog box opens in which you must choose whether to receive updates for the office or not. I will not give up updates, press “OK”. The program will start, and in order to copy the data file without problems, (you can’t cut it), you have to close it.
I turn on the display of hidden files and folders:
In any folder you need to open the menu “Tools”, folder options. In the dialog box that opens, switch to the “View” tab, get to the options tree, go down to the end, check “Show hidden files, folders and drives”, “Apply”, “OK”.
After these actions, I paste the copied file into the folder “Outlook”, and already from this folder I copy, so that not to search in the review, and when necessary, to paste in the editor “File name”.
Start the mailer, select “File”, “Information”, “Account setup” in the ribbon menu, and press Enter 2 times.
In the dialog box that opens, I go to the “Data Files” tab and look for the “Add” button. I paste the copied file into the editor and press Enter. So that every time I start JAWS or NVDA program I don’t get the following message: “Incoming. Outlook data file. Microsoft Outlook”, I press Shift Tab to navigate to the list where I choose the added file, look for the “Options” button, and in the dialog box that appears I remove the “Data File” and leave only “Outlook” from the “Name” editor.
And I click on “OK”. I press Tab and look for “Defaults”, press and agree with the message that changes will take effect the next time I start the mailer, then press “OK. And then “Close.”. What is outlook cache
Let’s start with the concept of outlook cache. So if you just copy the old file, it will not work, because you will have the wrong ID. Logically, you should take the old file, copy it to a new computer in the folder RoamCache and rename it to the new name with the right ID.
As you can see I have two cache files so far, the old one is 204kb. Delete the new file, but do not forget to copy its name completely.
Then you change the name of the old file to something you copied and you will get a restored autocomplete list in your mailbox.

Transferring outlook to another computer

It is in the folder My DocumentsFiles Outlook. Copy it to a new computer and open Outlook. MOVING OUTLOOK TO ANOTHER COMPUTER

How to archive emails

Exporting or backing up email, contacts and calendar to a PST file

Deleting contacts in Outlook
In order to avoid duplication of contacts, when importing them in the “Import Wizard” do not forget to change the standard parameters of the transfer “Allow duplicates” to another item that offers the option of replacing existing contacts.
If your contacts have already doubled, you can remove them in the “Contact list” by clicking on “Phones”. In the field that opens in front of you, select duplicate contacts and then press DELETE.
If you uncheck the “Automatically check for duplicate contacts” option in the “Contact settings”, Outlook will not keep track of duplicate business cards when selecting a person.
