Move your outlook mail to another computer

Migration of “big” Outlook accounts

Operating system crashed. You have reinstalled the system, but there is a Task: to migrate accounts and mail from one system to another. The fact that to move “Personal folders” is enough to find and copy the Outlook file.pst instead of the newly created (or connect it second), many people know. On seven, by the way, it’s right here: C:\Users\%USERNAME%\AppData\Local\Microsoft\Outlook\Outlook.pst, where %USERNAME% is the name of the user (or more precisely, the name of the folder where the user profile is located). The disk might not be C:\ either if the crashed operating system was on a different disk. And here’s how to move the “account” settings? It’s good if you had a couple or three of them. you can re-create them easily. And if you had at least ten of them?! It turns out that in order to do that, we have to pull the following branches from the registry of the user profile of the crashed system and import them into the current profile: HKEY_CURRENT_USER\Software\Microsoft\Office\Outlook\OMI Account Manager HKEY_CURRENT_USER\Software\Microsoft\Windows NT\CurrentVersion\Windows Messaging Subsystem\Profiles\Outlook HKEY_CURRENT_USER\Software\Microsoft\Office% office version%\Outlook\Options where % office version% is 11.0, 12.0, 14.0 and so on, depending on which version you used.

Open Regedt32 and through menu “File”. “Load Hive. “Connect NTUSER.DAT from the profile of the crashed system. You have to go to “HKEY_USERS” section and choose “File. “Load Hive. ” and point it to NTUSER.DAT from the old profile (find it in the user folder inside the folder Users or Documents and Settings from the crashed system). Regedt32 will ask us what name to give to the branch we want to connect. let’s give it e.g. “1234”.

In the just connected “1234” branch, search and export to reg files the three branches mentioned above. Only here, of course, they will start not with “HKEY_CURRENT_USER\”, but with “HKEY_USERS\1234\”. To export the desired branch to a reg file: go to the desired branch and use the “File” menu to. “Export” export the file (you will have to give the name and location of the file you want to export). Do the same with all three paths in the registry and we get three reg files.

Open one by one each of the three reg files in Notepad (e.g. right-click on them in Explorer and select “Edit” in the popup menu) and replace “HKEY_USERS\1234” with “HKEY_CURRENT_USER”. This is so that the information will get into the current profile during import and it will overwrite the current information.

I highly recommend that you export the current state as well so that you can restore everything back to the way it was if something goes wrong. So do not be lazy and do all steps of point 2 just for the current path (you have to work with “HKEY_CURRENT_USER”). Now, in case of any problems, you can import the files obtained at this step and restore the current state of the settings.

Now you actually have to close Outlook (if it was open) and import the files you got at step 3. Just open them in explorer and say yes to the warning.

That’s all! After opening Outlook, you will get a complete list of ready-made “accounts”. Except their mailbox passwords are not migrated that way (but they don’t seem to be migrated from the old profiles in any way whatsoever)!), so be prepared to remember them (or change them via “I forgot the password” 🙂 ).

First launch. Creating a data file

At the first start of the mailer the initial settings will open, here you should click on “Next”.

In the next dialog box of the two radio buttons I choose no. I need, that from all accounts the letters go in one folder inbox, and Outlook creates for each account a separate data file in which the folders are stored. Before adding it you need a data file that can be used for all accounts. That’s what the mailer does when you run it without an account, but since it creates it in the “Outlook Files” folder in your documents, which I don’t really like, you should do it the way you did it in Outlook 2007, i.e. Е. Move the data file to a folder in the path:

specify the new location, and make the default data file, and then delete the first one from Outlook, and then the folder from the documents. You can, of course, create a file after adding all the entries and specify that the mail is collected in the same inbox, but I prefer to do all the actions with the file at once, and specify the folder when adding the accounts.

After selecting the desired option I click on “Next”, in the next dialog box I check “Continue without setting up the email account”, and click “Done”.

A dialog box opens in which you must choose whether to receive updates for the office or not. I will not give up updates, press “OK”. The program will start, and in order to copy the data file without problems, (you can’t cut it), you have to close it.

move, your, outlook, mail

I turn on the display of hidden files and folders:

In any folder you need to open the menu “Tools”, folder options. In the dialog box that opens, switch to the “View” tab, get to the options tree, go down to the end, check “Show hidden files, folders and drives”, “Apply”, “OK”.

After these actions, I paste the copied file into the folder “Outlook”, and already from this folder I copy, so that not to search in the review, and when necessary, to paste in the editor “File name”.

Start the mailer, select “File”, “Information”, “Account setup” in the ribbon menu, and press Enter 2 times.

In the dialog box that opens, I go to the “Data Files” tab and look for the “Add” button. I paste the copied file into the editor and press Enter. So that every time I start JAWS or NVDA program I don’t get the following message: “Incoming. Outlook data file. Microsoft Outlook”, I press Shift Tab to navigate to the list where I choose the added file, look for the “Options” button, and in the dialog box that appears I remove the “Data File” and leave only “Outlook” from the “Name” editor.

And I click on “OK”. I press Tab and look for “Defaults”, press and agree with the message that changes will take effect the next time I start the mailer, then press “OK. And then “Close.”. I restart Outlook, open the account settings dialog box, switch to the “Data Files” tab, select the file that is in the “My Documents/Outlook Files” folder in the list, look for the “Delete” button, click, confirm by clicking “Yes”.

How to transfer the outlook 2016 autocomplete list

Good day dear readers, I am sure many of you at work use such a program to handle and receive mail as outlook, at least I have most of my employees use it in version 2013 sp1. Let’s imagine a situation, that at you to the employee has a new computer and you need to transfer its mail on it, it is not important you have pop3 or IMAP, letters you will transfer fast and without problems, the most often forgotten things at transfer, are rules and list of autocompletion outlook. Today we will talk about the second. And we will look at how to transfer the outlook autocomplete list to another computer.

What is outlook cache

Let’s start with the concept of outlook cache. I won’t go deep into the history, I will only say, that since MS Outlook 2003, there was a very useful feature of autocomplete e-mail address, when you type a new e-mail in the field to whom, from e-mail addresses sent earlier. In English versions this feature is called Auto-Complet, but in our localized version the autocompletion list.

If you have MS Exchenge mail server at work, then you are in luck, because the autofill list is on it, and no matter what computer you work on, you will have everything displayed, the server has a Suggested contacts folder for this. But if you don’t have MS Exchenge server like I do, you will have to make up your mind by moving this outlook cache to another computer.

In older versions of outlook, before 2007, this local cache was stored in the Outlook.NK2. This file used to go like this:

C:\Documents and Settings\%username%\Application Data\Microsoft\Outlook\

From Outlook 2010 to 2016, the outlook address cache is no longer in the Outlook file.NK2 file, it simply does not exist, now everything is in the Stream_Autocomplete_0 file.dat we’ll talk about it a little bit below. By the way, I forgot to mention that I already introduced you to this technology and told you how to clear the outlook 2013 cache and above.

Where the outlook autocomplete list lies

Let me now tell you where this outlook cache lies and what needs to be transferred to another computer. First of all, I have my mail set up on my new computer and it works via IMAP. For example, I create a new e-mail to my mailbox [email protected], as you see if I fill in the address halfway, it does not pop up from the autocomplete list, because it’s just not there.

On the old computer, enable the display of hidden files and folders, if you do not know how to do this, read this article. Next, follow this path:

Or you can get here from the account setup by clicking on the button to open the location of the data file.

What interesting files you can find here:

  • Stream_Autocomplete_0_.dat is the outlook 2010-2016 autocomplete list file
  • Stream_Calendar_2_.dat calendar
  • Stream_RssRule_2_.dat RSS rules

Now that you understand where the outlook 2007 cache and outlook 2013 cache lie, you can safely transfer it. For completeness of the picture and the article, I’ll show you how to do this for older versions as well, where the Outlook file was used.NK2, but for me to be honest these are already outdated products.

Transfer the autocomplete list from outlook 2007 to 2013

For Outlook 2016, it’s the same thing. Copy the Outlook file to the new system.NK2, you can before applying it, run a free utility, called NK2View, it allows you to view both the current cache and NK2 files. Download NK2View by following this link. As you can see, before transferring the autocomplete list between users, I have only one address in my outlook cache, this is to make you understand that there is now.

  • for Windows 7. C:\Users%username%\AppData\Roaming\Microsoft\Outlook,
  • for Windows XP. C:\Documents and Settings\%username%\Application Settings\Microsoft\Outlook

and run the command, you can run it directly from the launcher:

Transferring the autocomplete list from outlook 2013 to 2013

Now what you do, on the new computer, copy the full file name Stream_Autocomplete_0_unique ID.dat, this is a very important field, it has a set of characters (long string, you can compare it to SID), generated for all users different. So if you just copy the old file, it will not work, because you will have the wrong ID. Logically, you should take the old file, copy it to a new computer in the folder RoamCache and rename it to the new name with the right ID.

As you can see I have two cache files so far, the old one is 204kb. Delete the new file, but do not forget to copy its name completely.

Then you change the name of the old file to something you copied and you will get a restored autocomplete list in your mailbox.

Now in the new mail already much more contacts, as you see all very simply is solved, literally for pair minutes.

Today I will consider a very simple way to transfer data from one computer to another for Outlook 2010. For other versions will be about the same I think. The bottom line is this. The 2010 version of the mail client has a database file with pst permission. This file can be found, again in 2010 version, in My DocumentsFiles Outlook folder. Join our group at VK! Edit! In fact, everything would be simple, copied the file on another computer, dropped it in place of there newly created with the replacement, or whatever. Sometimes it happens, but I had to move configured Outlook with a bunch of rules, contacts, subfolders and mailboxes on another computer. I decided to find the right way, without any trouble. I found it not at once, there is nothing on the Internet, I found it, strangely enough, on the site melkomyagkih (I’ve lost the link somewhere). But let’s try to do everything ourselves, with our own hands, first mine, then you with yours, well, let’s start.

The process can be divided into two parts.

Transferring outlook to another computer

If you have just installed outlook and have not tried to open and configure it, it’s very simple. First of all we need to prepare our database file with pst resolution. It is in the folder My DocumentsFiles Outlook. Copy it to a new computer and open Outlook. Then following the instructions of the wizard choose Configure server settings manually or additional types of servers.

move, your, outlook, mail

Then we select the service in the field Internet E-mail.

Clicking Next, we proceed to configure the e-mail settings. We will stop here for a moment. Fill in the required fields User info, Server info. In the Login to the system, in the User field, enter the login in the form of the entire email address, for example Also I advise to adjust outgoing mail server at once. For this press the Other options button we go to the tab Outgoing mail Server and we check the SMTP-server requires check the authentication by selecting the necessary box below. In our case it is similar to Inbox server. Then we will return to the setting of e-mail parameters. Having entered all the necessary fields, we pay attention to the column Deliver new messages.

By default, it says To new Outlook file. But it is possible to choose the one we want, copied from the old computer in advance. And we do that, directly pointing to it in Overview. And you’ll be surprised, but that’s about it. Get into Outlook, and enjoy the migrated emails, settings, rules, contacts, and everything everything.

But if you’ve already created a user in Outlook and are wondering how to migrate all the settings? That’s where the second part comes in.

Go to Start. Control Panel, then choose View in the right corner of the window Small icons. And we are looking for shortcut Mail (32 bit).

Get into Outlook mail settings. Select the configuration section and click Show.

Then we press Add and go through the whole process, what is in the first part. After that, choose the default outlook profile we created, or leave it alone, removing the old one.

Here I think that’s all, as you can see there are no problems with it. But how much easier life Join our group in VK! Go to ! Smart workshop!

How to archive emails

Previously mentioned about the main Outlook pst file. Over time, more and more emails and attachments accumulate in it, and its size increases accordingly. To free up some space on your hard drive, you can enable archiving.

Mail archiving in Outlook is not divided into automatic and manual.

Archiving implies transforming one or more folders with emails (inside a pst file) into an archive. The folders themselves will not change for you in any way but everything in them now and in the future will be compressed.

Click the “File” tab. Under “Information”, click on “Cleanup Tools” and select “Archive”.

Under Details, click on “Cleanup Tools” and select “Archive”

Check the “Archive all” box or select the folders you want to compress, then click OK

Where are Outlook credentials stored?

How to find my PST file? In Outlook 2016, Outlook 2013, and Outlook 2010, new Outlook data files are stored by default in the following folders: Windows Vista, Windows 7, 8, and 10 : drive:Usersi_user_nameDocumentsOutlook Filesarchive.

Outlook data files (PST) created in Outlook 2010 are saved on your computer under DocumentsFiles in Outlook. In Windows XP, these files are created in the My DocumentsFiles folder of Outlook.

Exporting or backing up email, contacts and calendar to a PST file

Suppose you want to move emails from one account to another, or you have changed computers and now want to transfer emails from one computer to another. Nothing could be simpler. Even if the new computer has a higher version of Outlook than the old one. Export email data from Outlook on one computer and import it into Outlook on another computer. Let’s take a closer look at Microsoft Outlook 2016, also this article will be useful for Outlook 2013.

In Outlook 2016, at the top of the window, click the File tab

Click Open and export and then Import and export

move, your, outlook, mail

In the window that will open, select Export to file and click Next

In the next window, select Outlook Data File (.pst) and click Next

In the next window, we can choose whether to export a single folder or all the mailbox items of this account. You are only allowed to export one account at a time. We will be exporting the entire email. To do this, select the name of the account and check the checkbox for Include subfolders. Click Next.

Then press the Browse button and name the new Outlook data file (.pst) and specify where it will be saved. Click Finish.

Before you start the export process, Outlook will ask you to protect the new Outlook Data File (.(pst) by password. Specify a password or leave the fields blank and click OK.

Wait until export is finished. Then, you can transfer the file to another computer over the network or USB-drive and import it into another account or attach it to Outlook as an archive.

Deleting contacts in Outlook

In order to avoid duplication of contacts, when importing them in the “Import Wizard” do not forget to change the standard parameters of the transfer “Allow duplicates” to another item that offers the option of replacing existing contacts.

If your contacts have already doubled, you can remove them in the “Contact list” by clicking on “Phones”. In the field that opens in front of you, select duplicate contacts and then press DELETE.

If you uncheck the “Automatically check for duplicate contacts” option in the “Contact settings”, Outlook will not keep track of duplicate business cards when selecting a person.

The main function of Microsoft Outlook is to work with email. In addition, it can perform the functions of a directory and contact manager. After getting acquainted with ways to add, delete contacts and create groups in the mail client Outlook, the user can configure the program the way he wants and use it to stay in touch with friends and colleagues.
